Why this topic?

In this final episode of our 3-part All About Growth series, we covered handing leads off to the sales team. We reviewed the data, explored ways to understand how quickly people move through the lead nurture stage, and shared a way to manage conversion tracking.

I encourage you to revisit episodes one and two (links below).

Episode One
From Clicks to Conversion

We initially focused on your Eloqua Forms and offered tips, suggestions, and ideas to maximise that experience for your target audience while capturing the data you need for richer reporting.

Episode Two
Eloqua Nurture Campaigns: Canvas Optimisation Tips

We explored ways to enhance your CX with the rich functionality of multi-step campaigns. If you’re using Simple Email Campaigns to try to nurture your audience, you’ve got a long, hard road ahead.

Business Alignment

What does Sales actually care about when identifying an ideal lead?

True alignment goes beyond marketing and sales—it involves customer success, call centres, and sales operations.

Why business alignment matters, beyond just Marketing and Sales Alignment

According to Gartner research from 2023, sales organisations that prioritise alignment with marketing are nearly three times more likely to exceed new customer acquisition targets.

At the same time, 62% of Gartner survey respondents reported that sales and marketing define qualified leads differently. This disconnect wastes leads and creates friction between teams.

This presents a challenge for the business. To deliver the best possible customer experience, the business must align across teams, not just between Marketing and Sales.

Practical steps for business alignment

  • Collaborate, don’t assume: Always include sales representatives in lead scoring and lead qualification workshops. This ensures that the definition and rationale behind your marketing-qualified leads (MQLs) is mutually agreed and understood.
  • Build an Ideal Client Profile (ICP): Analyse your top 10–20% of clients using the 80/20 rule. Identify shared attributes such as recurring revenue, payment reliability, organisational size, and geographic spread. You may need more than one ICP depending on your use case, and make sure you have a plan to refresh them.
  • Align data fields and picklists: Make sure fields captured in Eloqua (such as industry, job category, country of citizenship, or specific geographic regions) match single-select picklists in your CRM and ERP systems seamlessly. This should be an integral part of your data strategy.

Understanding the difference between an Option Value and an Option Name

Creating picklists in Eloqua is quick and easy. However, without a clear understanding of Values and Names, you can quickly get yourself into a mess. If you can remember these two points, you’ll be ahead of the game:

  1. The Option Name is what your audience sees when they view your form. The Option Value is what you need to ensure a smooth integration from Eloqua to your CRM, for example. In some cases, the value and the name are identical – see Figure 1.0 below. In other situations, they’re different – see Figure 2.0
  2. Before you create a picklist for your campaign, determine if there is an existing picklist to meet your needs. If not, will you need to pass the details in your picklist to the CRM? Is there a logical, mapped CRM Lead/Contact field to receive the value? You may need to talk with your Eloqua & CRM Administrators to prepare each system for your captured data.

NOTE: If the picklist you create doesn’t need to leave Eloqua, you can simply create a picklist with matching Values and Names.

Passing the Country value to Salesforce CRM

In this screenshot, you can see the Option Value (A) and the Option Name (B). By default, most Salesforce CRM customers set the value and name to match for the country field.

Passing the Country value to Oracle CX Sales CRM

This screenshot shows the Option Value (A) and the Option Name (B). By default, most Oracle CRM, ERP, HCM, etc. customers set the value to the internationally recognised two-letter abbreviation and spell out the country’s full name as the name. Oracle clients will be familiar with this; it’s standard across the Oracle application family.

Lead velocity

Measuring how fast prospects move through your marketing funnel

Lead velocity measures how quickly prospects progress through your marketing and sales funnel.

Marketing vs. CRM lead velocity

Traditional CRM reports measure velocity from when a lead is created, but marketing lead velocity starts much earlier, when a prospect first interacts with Eloqua.

Key milestones to timestamp

To track velocity accurately across the entire customer journey, capture timestamp dates for:

  • Contact creation date in Eloqua.
  • Entry date into primary lead nurture campaigns.
  • Date created in the  CRM lead object.
  • Opportunity / Conversion event date
  • Opportunity Closed-Won / Conversion completed date

Optimising Funnel Speed

Using Eloqua Insight dashboards, marketing teams can pinpoint bottlenecks that slow prospects down. Campaign canvases can be built with dynamic logic to accelerate messaging based on key deadlines (for example, university intake dates or Open Days).

Conversion Tracking

Plugging the Leaky Funnel

A “leaky funnel”—a concept I was first introduced to by Hugh MacFarlane—occurs when hard-won marketing enquiries stall or are left untouched before sales outreach.

A “leaky funnel” can take many forms:

  • A prospect may submit an enquiry, but poor picklist management or integration errors prevent the lead from reaching the CRM
  • Leads may sit in a dark corner of the CRM when automated lead assignment rules fail
  • Poor Segmentation/Audience design in Eloqua means an engaged Lead never quite makes it into the right campaign – something is missing in the filter criteria.

Tools like Eloqua’s Fatigue Level, Lead Scoring and Insight Analytics Dashboards can help bring these prospects to the surface.

Mapping transition points

To maintain an unbroken chain of conversion tracking, sales, marketing, and service teams must agree on defined transition points:

  • Contact Creation & First Engagement: Form submission or content download
  • Campaign Entry & Nurture: Continuous engagement tracking
  • MQL Qualification: Reaching defined lead score thresholds
  • CRM Lead & Opportunity Creation: Handoff to sales reps
  • Closed-Won/Conversion & Onboarding Start: Smooth transition into customer success

Unifying these definitions ensures complete visibility into ROI and campaign attribution. The most effective ROI dashboards I’ve seen are generally in Eloqua and use CRM sales data. It requires discipline from both the Marketing and Sales teams to ensure they capture costs (Marketing) and revenue (Sales) correctly in their respective platforms.

You can capture campaign costs on each Eloqua Campaign. See Figure 3.0 below for a multi-step campaign. From the Campaign Canvas, select Campaign Fields (A) from the three-dot menu (top right-hand corner of the screen) and then click on Financials (B) as shown below.

  • Form Processing Steps UI: Refined visual layout with smaller icons and colour-coded conditional logic.
  • Multi-Tab Asset Navigation: Right-click directly on assets to open them in separate browser tabs or split-screen views.
  • Non-Human Engagement Detection: Auto-click detection moves to general availability to accurately filter out security scanner clicks and automated bot activity.
  • App Enhancements: Salesforce Integration App syncs SMS engagement data back into Salesforce. Oracle Zoom App expands data capture for Zoom Events to include first name, last name, company details and more. Oracle CX / Sales Cloud passes extra campaign context fields on callback.
  • AI Announcements: Further updates on the Oracle AI Agent Studio will follow Oracle AI World in Las Vegas at the end of October.

Frequently Asked Questions

Q: How does sales and marketing alignment improve lead management?
A: When marketing, sales, and operations align on shared definitions for qualified leads, you stop wasting enquiries. Partnering across teams ensures smoother handoffs, better customer experiences, and higher conversion rates throughout your funnel.

Q: What is marketing lead velocity and why track it in Eloqua?
A: Lead velocity measures how quickly prospects move through your funnel. Tracking velocity in Oracle Eloqua from initial contact—rather than CRM creation—helps you spot bottlenecks early and use dynamic campaign messaging to accelerate buyer journeys.

Q: How do you build an Ideal Client Profile for better lead scoring?
A: Analyse your top 10–20% of clients using the 80/20 rule to identify recurring traits like revenue, organisation size, and region. Include sales reps in lead scoring workshops so everyone agrees on what makes a qualified lead.

Q: What causes a leaky funnel between Eloqua and your CRM?
A: Funnel leaks happen for multiple reasons. Common causes include poor picklist management creating integration errors, automated assignment rules that fail, or flawed Eloqua segmentation that holds engaged prospects back. Tools like Lead Scoring and Fatigue Level bring these stuck enquiries back to light.

Q: How do you ensure accurate ROI and conversion tracking?
A: Agree on clear transition points from initial form submission to closed-won status. Capture campaign costs directly in Eloqua and link them to CRM sales revenue to maintain full visibility into attribution and overall marketing ROI.

Q: What key updates are coming in the Eloqua Release 26D?
A: Release 26D introduces the updated Redwood Campaign Canvas, expanded global search across all assets, refined form processing UI, multi-tab asset navigation, and built-in non-human engagement detection to filter out security scanners and automated bots automatically when evaluating clicks.

Q: How does Eloqua detect non-human engagement like bot clicks?
A: The auto-click detection feature in Release 26D helps filter out security scanner clicks and automated bot activity. This ensures your campaign analytics, lead scores, and engagement metrics better reflect genuine prospect activity rather than automated system traffic.
